401(k) Customer Service Team

Pension Corporation of America has a Customer Service Rep position open on our 401(k) Administration Team.
Our Customer Service Reps work Monday through Friday with shifts available between 8 am and 6 pm.

General Job Function:

  • Provide customer service to plan participants by responding to participant phone calls and emails with information on their account balances, plan provisions, and processing transfers and exchanges. No selling with this Customer Service Rep position

Responsibility:

  • Answer participant phone calls and emails for account balances, retirement plan provisions, processing transfers and exchanges
  • Assists in daily duties of plan administration
  • Entering enrollment/beneficiary forms
  • Mailing confirmation statements
  • Sending distribution packets
  • Logging distribution requests
  • Assist with loan inquiries and pay-offs
  • Other duties as assigned
  • Gain knowledge and experience in Retirement Plan Administration
  • On the job training provides the employee hands on experience
  • Industry Education sponsored by PCA through ASPPA (America Society of Pension Professionals and Actuaries) provides the employee the Certification and Designation needed for career in Retirement Plan Administration

Job Requirements:

  • Strong attention to detail and excellent clerical skills
  • Ability to work independently
  • Ability to prioritize tasks
  • Strong problem solving, decision making, and analytical abilities

Knowledge/Skill:

  • Working knowledge of Microsoft: Excel, Word, Access, & Outlook
  • Ability to navigate several different software applications simultaneously
  • Experience and capability to effectively utilize a 3 monitor system
  • Ability and desire to learn pension-related industry software

Perfect Entry Level Position - Recent college graduate or some college coursework - Strong administrative or customer service experience.

Education/Experience Bachelor’s degree or equivalent work experience helpful.
ASPPA Designation helpful or desire to achieve ASPPA Credentials.
Retirement planning industry or financial services industry experience valuable.

 

 

Marketing Support

Pension Corporation of America has a Marketing Administrative Assistant position available in our Advisor Sales and Marketing area. Reporting to the VP of Personal Wealth Management, this position supports Investment Advisors and Partners in all aspects of financial planning: presentations, reviews, analytics, and scheduling for both prospects and clients.

Qualifications

  • Bachelor’s degree or equivalent work experience required
  • 2+ years of administrative support and/or client-relations experience
  • Financial Services industry experience preferred

General Responsibilities

  • Direct marketing and wealth management support to Investment Advisors and Partners
  • Effectively manage scheduling for Investment Advisors, process forms accurately and timely, and maintain existing accounts
  • Ability to form relationships with existing clients through routine interaction, leading to cultivation of new clients through referrals
  • A passion for continual learning of all aspects of the personal wealth industry is desired
  • A strong interest in servicing clients’ needs to assist in achieving their financial goals
  • Candidate must possess the initiative to independently assist Advisors with customer service issues and follow-up on client concerns for resolution
  • Ability to work independently and use critical thinking skills, along with administrative and clerical skills, to provide customer service to prospects and clients for Advisors
  •  Acknowledgement and understanding of the importance of ethics and upholding compliance protocol in all business transactions

New Business Tasks for Prospects:

  • Accurately document prospective client conversations and business actions and maintain up-to-date client data into the client relationship manager (CRM) system for purposes of reporting, scheduling, fee tracking, and marketing purposes
  • Create and maintain client files; prepare and send follow-up client letters
  • Oversee and provide support for pre-client meeting preparation and post-client meeting processing work
  • Review and process all internal and external forms, using proofreading skills to note missing or inaccurate information, and to contact client to retrieve that missing information
  • Prepare initial financial plans for new clients, post-Investment Advisor meeting

Review Process:

  • Schedule all client reviews according to review frequency
  • If material changes have taken place since the last review, all relevant investment/financial plan information from the client should be compiled prior to the next review
  •  Review all clients for their existing financial plans. Update if needed. If no financial plan exists, gather required information from client to prepare preliminary plan prior to next review
  • Proactively notify advisors of any missing information or past due opportunities

Other Duties:

  •  Employee will be exposed to other facets of marketing support tasks and will be required to perform other duties outside of Personal Wealth-related tasks. This may include, but not limited to 401(k) plan administration-related marketing support tasks, administrative tasks for other Advisors for Wealth and/or retirement plan marketing, or front-office related tasks

Knowledge/Skills:

  • Strong attention to detail
  • Strong organizational and analytical skills
  • Strong time-management skills. Ability to prioritize workflow to meet internal deadlines accurately and completely
  • Excellent communication skills. Able to interact well with internal associates and clients
  • Able to work well under stress created by time deadlines, workflow volume changes, and a fast-paced work environment with frequent interruptions
  • Ability and willingness to recommend process improvements to increase efficiency
  • Commitment to teamwork and professional development

Software Programs:

  • Proficiency in Microsoft Office including Outlook, Excel, and Word software applications required
  • Ability to navigate in Microsoft Access PCA database
  • Familiarity or capability to learn industry related software applications including Morningstar, Fidelity, Schwab, Matrix, eMoney, Redtail, and other websites as needed
